Job Overview:
We are seeking a dedicated and organized Law Office Receptionist to join our team. This position plays a critical role in ensuring smooth operations in our office by managing front-desk activities, handling administrative tasks, and providing excellent customer service to clients and visitors. The ideal candidate will be able to multitask efficiently and handle a variety of office responsibilities.
Key Responsibilities:
- Phone Answering:
- Answer all incoming calls in a professional manner.
- Route client calls to the appropriate attorneys or staff.
- Schedule appointments for all non-client calls after gathering necessary information.
- Billing:
- Submit all ACAP billing, ensuring that invoices are accurate and submitted promptly.
- File Management:
- Build and organize criminal files in a manner consistent with office procedures.
- Ensure that files are complete, updated, and well-maintained.
- Criminal Form Letters:
- Prepare and send out standard criminal form letters to clients and relevant parties as directed by attorneys.
- Scanning Documents:
- Scan and upload all incoming documents, including court documents, client correspondence, and billing records, to the appropriate digital files.
- Ensure that all scanned documents are legible and accurately filed.
- General Administrative Support:
- Assist attorneys and staff with other administrative duties as required.
- Maintain a clean and welcoming reception area.
Qualifications:
- High school diploma or equivalent required; Associate degree preferred.
- Previous experience in a legal office or administrative setting is a plus.
- Strong phone etiquette and professional communication skills.
- Ability to multitask, prioritize tasks, and meet deadlines.
- Proficiency with office equipment and software (Microsoft Office, legal management systems, etc.).
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Additional Skills:
- Strong interpersonal skills and a friendly, customer-service-oriented demeanor.
- Ability to work independently and as part of a team.
- Knowledge of legal terminology, especially in criminal law, is beneficial.
