Position: Office Manager

Hours: Minimum of 20 hours per week in off-season & 40 hours in-season (August -October) | Not a remote position

Responsibilities:

Administrative Duties

  • Professionally answer phones and handle inquiries.
  • Respond to emails promptly and maintain clear communication.

Financial Duties

  • Expertly use QuickBooks for financial tracking and reporting.
  • Track all financial transactions with business credit cards including purchases, sales, receipts, and payments to vendors.
  • Pay bills on time and process incoming invoices.
  • Manage accounts payable and accounts receivable.
  • Reconcile bank statements and monitor financial transactions.
  • Maintain accurate and up-to-date financial records for easy retrieval.
  • Assist in month-end and year-end closings.
  • Manage and maintain accurate balance sheets and P&L reports.

Quarterly Financial Statements

  • Prepare and produce quarterly financial statements for review by management and external stakeholders.

Cash Management

  • Manage cash on hand efficiently, ensuring proper documentation and reconciliation.
  • Paying bills through Quick books and categorizing properly.

Payroll Management

  • Process monthly payroll for up to 150 seasonal employees accurately and on time.
  • Input W-2 and I-9 information into payroll systems in compliance with state and federal regulations.

Collaboration with External Partners

  • Work closely with our local accountant to ensure accurate financial reporting, sales tax reports and all tax compliance.

Reporting

  • Generate various financial reports as needed for management and regulatory purposes.
  • Prepare and assist with annual reports.

Business Licenses

  • Schedule and renew applicable business licenses and certificates.

Qualifications:

  • Associate’s degree in accounting or related field is a plus
  • Proven experience as a bookkeeper or in a similar role
  • Proficiency in QuickBooks and Microsoft Excel
  • Strong understanding of payroll processes, including W-2 and I-9 requirements
  • Excellent attention to detail and organizational skills
  • Ability to work independently and meet deadlines consistently
  • Knowledge of seasonal business operations is a plus
